Stephen's Cleaning Services · Stephen Cronin, sole trader · Laytown, Co. Meath · Last updated 18 October 2026
In short: we use your details only to arrange and do your cleaning job, invoice you and keep the records the law requires. We never sell or share them, and you can ask to see, correct or delete them at any time.
1. Who we are
Stephen's Cleaning Services is run by Stephen Cronin, a sole trader based in Laytown, Co. Meath. We provide carpet, upholstery, hard-floor and window cleaning, including stairs, rugs and mattresses. Stephen is responsible for your personal data (the “controller”). Contact: hello@stephenscleaning.ie or 083 192 1400.
2. What we collect
- Your name, address, Eircode and area. We use your Eircode and town to give quotes, work out any travel charge, find your home or premises and plan our route.
- Your phone number and email, so we can arrange the job and send your quote, invoice and receipt.
- Booking messages, photos and notes you send us (for example by WhatsApp, text or email) about the rooms, stains, pets or access, so we can quote and plan the job.
- Job and payment details: what we cleaned, the price, and how and when you paid.
- Your marketing choice and photo choice (yes or no), with the date and how you told us.
- Your review, if you give us one, and whether we may use it with your name or initials.
We only collect what we need for the purposes below. When you send photos for a quote, please don't include people, faces or anything that identifies you or your home (house numbers, post, car registrations). Please don't send sensitive information we don't need, such as alarm codes or health details.
3. Why we use it and our legal basis
| Why | Legal basis |
|---|---|
| To quote, book and carry out the job you asked for, plan the route and contact you about it, including photos and notes you send for a quote | Contract, and steps you ask us to take before booking (GDPR Art. 6(1)(b)) |
| To issue invoices and keep accounts | Legal obligation: tax law requires us to keep business records (GDPR Art. 6(1)(c)) |
| To use before/after photos of the job, or your review with your name or initials, on our website, social media or Google | Your consent (GDPR Art. 6(1)(a)), which you can withdraw at any time |
| To send occasional offers or reminders by email or text | Your consent, or for existing customers our own similar services with an easy opt-out in every message (ePrivacy Regulations 2011, Reg. 13) |
4. Who sees it
- Stephen (Stephen's Cleaning Services).
- Our accountant, to prepare our accounts and tax returns.
- Revenue, only if it asks for our records.
- Service providers that act for us: Microsoft (OneDrive and email, where our files are stored) and Meta (WhatsApp, if you message us there). Where they process data outside the EU, they use EU-approved safeguards.
- Netlify (netlify.com), our website host, which receives your website booking request and forwards it to our email (hello@stephenscleaning.ie).
- Square, if you pay by card. Square processes your card details under its own privacy notice. We never see or store your full card number; we only receive confirmation of the payment.
We never sell, rent or share your details with anyone else, and we don't use them for anything other than the above.
5. How we keep it safe
Your details are kept in our business records on a secure Microsoft OneDrive account, protected by a strong password and two-step sign-in. Only Stephen has access. Phones and laptops used for the business are locked and encrypted.
6. How long we keep it
- Invoices and payment records: 6 years after the transaction, as tax law requires. Then we delete them.
- Contact details: 6 years after your last job or invoice. If you only enquired and no job went ahead, we delete them within 12 months.
- Booking messages, photos and notes: deleted once they're no longer needed, after the job and any query or complaint about it is settled. The only exception is before/after photos you've agreed we can use.
- Marketing and photo choices, and reviews we use: until you change your mind. If you opt out, we keep a note so we don't contact you again.
7. Marketing
We only send offers or reminders if you've said yes, or if you're an existing customer and it's for a similar service of ours. Every message tells you how to stop them for free (for example, reply STOP), and you can opt out at any time. Messages about your booking or invoice aren't marketing.
8. Photos and reviews
- Before/after photos: we only use photos of our work in marketing (website, social media, Google) if you agree. They never show you, your family or anything that identifies your home, such as faces, house numbers, cars or addresses.
- Reviews: if you leave us a review, we may show it on our website or social media, but we'll only use your name or initials with your permission. Reviews you post yourself on Google are also covered by Google's own terms.
- You can withdraw your consent at any time, and we'll remove the photos or review from our website and social media.
9. Your rights
You can ask us to:
- give you a copy of the information we hold about you;
- correct anything that's wrong;
- delete your details. We will, except for invoices and payment records, which the law requires us to keep for 6 years;
- restrict or object to how we use your details, including stopping marketing at any time;
- give you your details in a portable format.
Contact hello@stephenscleaning.ie or 083 192 1400. It's free, and we'll reply within one month. If you're not happy, you can complain to the Data Protection Commission at www.dataprotection.ie.

We'll update this notice if anything changes. The date at the top shows the latest version.
